Terms and Conditions for Sponsorship of the International Conference for Women Birders 2025

1.⁠ ⁠Introduction

These Terms and Conditions outline the obligations and rights of sponsors participating in the International Conference for Women Birders 2025. By agreeing to sponsor the conference, the sponsor accepts these Terms and Conditions.

2.⁠ ⁠Sponsorship Benefits

Sponsors will receive the benefits corresponding to their chosen sponsorship level as detailed in the sponsorship package. These benefits may include, but are not limited to, logo placement, complimentary registrations, advertisement space, and speaking opportunities.

3.⁠ ⁠Payment Terms

a. Full payment of the sponsorship fee is required upon submission of the sponsorship form.

b. Payments can be made via credit card, bank transfer, or PayPal.

c. All payments must be received within 30 days of invoice date. Sponsorship benefits will not be provided until full payment is received.

4.⁠ ⁠Cancellation Policy

a. Cancellation requests must be made in writing to the conference organizers.

b. Cancellations made more than 90 days prior to the event will receive a 50% refund.

c. Cancellations made less than 90 days prior to the event will not be eligible for a refund.

5.⁠ ⁠Sponsor Obligations

a. Sponsors must provide all necessary materials (logos, advertisements, etc.) by the deadlines specified by the conference organizers.

b. Sponsors are responsible for their own travel and accommodation arrangements and expenses unless explicitly stated otherwise in the sponsorship package.

6.⁠ ⁠Use of Logo and Branding

a. Sponsors grant the conference organizers the right to use their logos and company names for promotional purposes in connection with the conference.

b. Sponsors must provide high-resolution logos and any specific branding guidelines to ensure accurate representation.

7.⁠ ⁠Exhibition Space

a. Exhibition space will be allocated based on the sponsorship level and on a first-come, first-served basis.

b. Sponsors are responsible for setting up and dismantling their exhibition booths in accordance with the conference schedule.

c. The conference organizers will not be responsible for any loss or damage to exhibition materials.

8.⁠ ⁠Liability

a. The conference organizers shall not be liable for any loss, damage, or injury to sponsors' property or personnel.

b. Sponsors must have adequate insurance coverage for their property and personnel during the conference.

9.⁠ ⁠Compliance with Laws

Sponsors agree to comply with all applicable laws, regulations, and codes of practice in connection with their participation in the conference.

10.⁠ ⁠Force Majeure

The conference organizers shall not be liable for any failure or delay in performing their obligations due to circumstances beyond their reasonable control, including but not limited to acts of God, natural disasters, war, civil unrest, or pandemics.

11.⁠ ⁠Amendments

The conference organizers reserve the right to amend these Terms and Conditions at any time. Sponsors will be notified of any changes in writing.

12.⁠ ⁠Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of Costa Rica. Any disputes arising under or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of Costa Rica.

13.⁠ ⁠Acceptance

By submitting the sponsorship form and payment, sponsors acknowledge that they have read, understood, and agree to be bound by these Terms and Conditions.
